Booking and Hire Terms
Terms and conditions for ball machine hire.
Effective from 5 August 2026
1. Booking Approval and Payment
All bookings are subject to availability and admin approval. When you submit a booking request, it is not yet confirmed.
For approval-required bookings, we will review your request and, if accepted, send you a secure payment link via email. Your booking is only confirmed once payment has been received and verified.
For instant bookings, payment is taken at the time of submission. Your booking is confirmed once payment is successful.
Payment must be made within 12 hours of receiving a payment link. If payment is not received within this window, the held slot will be released and the booking cancelled automatically.
2. Court Booking Is Separate
Our ball machine hire does NOT include a court booking. You are responsible for booking a court at your chosen venue independently.
We are not responsible for court availability, court fees or court bookings. Please ensure you have a confirmed court booking before hiring a machine.
If you arrive without a court booking, we are not liable for any inability to use the machine.
3. Customer Responsibility for Equipment
You are responsible for the ball machine and all associated equipment from the moment it is handed to you (or delivered) until it is returned to us or collected.
This includes:
- •The ball machine unit
- •All padel balls provided
- •Remote control and charging cables
- •Setup guides and accessories
You must take reasonable care of the equipment and return it in the same condition as received, subject to normal wear and tear.
4. Safe Use and Following Instructions
You must follow all setup and operating instructions provided with the machine. A quick setup guide is included with every hire.
You must not attempt to modify, open or repair the machine. If you experience any issues, contact us immediately.
Do not use the machine if it appears damaged or faulty upon receipt.
5. Use at the Customer's Own Risk
You use the ball machine entirely at your own risk. Cheshire Padel Rentals is not liable for any injury, loss or damage arising from the use of the machine, including but not limited to:
- •Injuries from balls struck by the machine
- •Injuries from tripping over or colliding with the machine
- •Damage to property, courts or vehicles
- •Injury to other players or spectators
We strongly recommend wearing appropriate eye protection and ensuring all players and spectators maintain a safe distance from the machine during operation.
6. Age and Supervision
The ball machine must only be operated by persons aged 18 or over. Children and minors must not operate the machine under any circumstances.
If children are present on court, they must be supervised by a responsible adult at all times and kept away from the machine during operation.
7. Machine Damage, Loss and Theft
You are financially responsible for any damage to, loss or theft of the machine and equipment during your hire period. This includes:
- •Accidental damage caused by misuse or negligence
- •Damage caused by improper storage or transport
- •Loss or theft of the machine, balls or accessories
- •Water damage (if used outdoors in rain without protection)
The current replacement value of a ball machine is approximately £2,500–£4,000. You may be liable for repair or replacement costs up to this amount.
We recommend checking whether your personal or club insurance covers equipment hire.
8. Late Returns
The machine must be returned or made available for collection at the agreed end time. Late returns may incur additional charges of £15 per hour or part thereof.
If you anticipate a late return, contact us immediately. We may be able to extend the hire period subject to availability.
Repeated late returns may result in refusal of future bookings.
9. Weather and Outdoor Use
Ball machines are electronic equipment and must not be used in heavy rain or thunderstorms. If the court is outdoor and weather conditions are unsuitable, do not operate the machine.
If your booking is affected by adverse weather, contact us to discuss rescheduling. We will make reasonable efforts to accommodate a date change without additional charge.
We are not liable for damage caused by using the machine in inappropriate weather conditions.
10. Prohibited Misuse
The following uses are strictly prohibited and may result in immediate termination of your hire, additional charges and refusal of future bookings:
- •Using the machine for commercial coaching without prior arrangement
- •Sub-hiring or lending the machine to third parties
- •Using non-standard or damaged balls
- •Operating the machine beyond its rated capacity
- •Using the machine on surfaces other than padel or tennis courts
- •Tampering with the machine's electronics or mechanics
11. Delivery and Collection
Delivery and collection are available within our service area across Cheshire and the North West. Delivery charges are calculated based on distance and are shown at checkout.
You must ensure someone is available to receive the machine at the agreed delivery time. If no one is available, a re-delivery fee may apply.
For collection bookings, the machine must be collected from and returned to the agreed location at the agreed times.
Detailed delivery and collection terms are in our Delivery and Collection Policy.
12. Cancellation Window
You may cancel your booking under the following terms:
- •More than 48 hours before the start time: full refund
- •24–48 hours before the start time: 50% refund
- •Less than 24 hours before the start time: no refund
See our Cancellation and Refund Policy for full details.
13. Refunds
Refunds are processed to the original payment method within 5–10 working days. Refund eligibility is determined by the cancellation window above and our Cancellation and Refund Policy.
14. Deposits
For certain bookings (e.g. weekend hires or high-value packages), we may require a deposit. The deposit amount will be clearly stated at the time of booking.
Deposits are refunded within 5 working days of the machine being returned in satisfactory condition, subject to the terms above.
Deposits may be partially or fully retained to cover damage, late return fees or missing equipment.
15. Liability Limitations
To the maximum extent permitted by law, Cheshire Padel Rentals is not liable for:
- •Indirect or consequential losses
- •Loss of earnings or business opportunity
- •Damage to personal property beyond the machine itself
- •Injury arising from misuse or failure to follow instructions
Our total liability for any single booking shall not exceed the hire charge paid for that booking.
16. Right to Refuse or Cancel Unsafe Bookings
We reserve the right to refuse or cancel any booking at any time if we believe:
- •The booking poses a safety risk to the customer or others
- •The customer has previously breached these terms
- •The venue or location is unsuitable for machine use
- •The customer appears unable to safely operate the machine
In such cases, a full refund will be provided where payment has already been made.
